To create a new invoice for a customer, follow the steps below.
🚀 How to Create an Invoice

Navigate to:
Sales → Invoices

Click the ➕ Create New Invoice button at the top.
📋 Invoice Setup
👤 Select Customer
When you select a customer:

All customer details (billing/shipping) are auto-filled based on the customer profile.
-
You can click the ✏️ edit icon to manually update invoice details.
This won't affect the customer profile.
🔔 Note: Billing details must be saved in the customer profile for auto-fill to work.
💳 Allowed Payment Modes
Choose available payment methods for this invoice (e.g., cash, bank, credit card, online gateways).
💱 Currency

Auto-set based on the customer’s saved currency or system base currency.

Cannot be changed if transactions already exist for the customer.
🔢 Invoice Number

Automatically generated (e.g., INV-00123).

The number is pulled from:
Setup → Settings → Finance → Invoice → Next Number
-
You can update the "next number" if needed.
🖊️ Invoice Content
📄 Customer Note
Visible on both:

Invoice HTML (web version)
-
PDF invoice
🔁 Recurring Invoice
Enable if this invoice needs to repeat periodically.

👤 Sales Agent
Select the staff member responsible for this sale:

Their name will appear on the invoice (if enabled in settings).

Helps with tracking in:
Reports → Sales → Invoices Report
.
📦 Add Items
You can:

Select from predefined items
-
Manually add new items
-
Add applicable taxes
-
Use the ✅ blue check icon to confirm each item addition
🧠 Items in the invoice are independent from your saved item list.
Updating an item inSales → Items
does not affect already issued invoices.
🧾 Terms & Conditions
Add directly, or auto-fill from predefined terms:Setup → Settings → Finance → Invoice
🗒️ Admin Note vs. Customer Note

Admin Note – Visible only to internal staff
-
Customer Note – Visible to the client (HTML + PDF)
💲 Adjustments
You can apply manual adjustments (positive or negative) to the total amount.
✅ Save the Invoice
Click Save when done.
You can now:

Send the invoice to the client
-
Print or download it
-
Record a payment
-
Convert it into a recurring invoice (optional)
