Creating a New Project in Quotify CRM

To create a new project:

  1. Go to Projects from the left-hand menu

  2. Click “New Project” at the top left


📝 Project Details

  • Project Name – The name of the project (visible to the customer)

  • Select Customer – Choose the client linked to the project

  • Billing Type – Choose one of the three billing options:

    • Fixed Cost

    • Project Hours – Based on total billable hours for the full project

    • Tasks Hours – Based on hours per task and their hourly rates

⚠️ Billing type cannot be changed once any billed tasks are added to the project.

  • Select Project Members – Only selected staff members (or those with Manage Projects permission) can access the project

  • Start Date / End Date

  • Project Description


⚙️ Project Settings

Each project can have custom visibility settings per customer. You can toggle the following:

  • ✅ Allow customer to view tasks

  • ✅ Allow customer to comment on tasks (requires “view tasks” to be enabled)

  • ✅ Allow customer to view task comments

  • ✅ Allow customer to view task attachments

  • ✅ Allow customer to view task checklist items

  • ✅ Allow customer to upload attachments on tasks

  • ✅ Allow customer to view task logged time

  • ✅ Allow customer to view finance overview (not available for Fixed Cost projects)

  • ✅ Allow customer to upload files

  • ✅ Allow customer to open discussions

  • ✅ Allow customer to view milestones

  • ✅ Allow customer to view Gantt chart

  • ✅ Allow customer to view timesheets

  • ✅ Allow customer to view activity log

  • ✅ Allow customer to view team members


🧠 Notes & Tips

  • By default, new projects inherit the settings from your most recently created project. You can update these as needed.

  • Currency: The project will use the customer’s assigned currency. If no custom currency is set, it will default to your system's base currency.

  • Permissions: If you want staff members to see only the projects they're assigned to, do not grant “View Projects” permission. That permission allows access to all projects in the system.
