Creating a Proposal in Quotify

Creating proposals in Quotify lets you send personalized offers to leads or customers with ease.

🛠 Step-by-Step: Create a New Proposal

  1. From the main menu, go to Sales → Proposals.

  2. Click the ➕ Create Proposal button (top left).

  3. Choose who the proposal is for:

    • 🔹 Related To: Select Lead or Customer

    • 🔹 Select the specific lead or customer from the dropdown.

      • ✅ Their information will auto-fill on the right side (you can still edit this).

  4. Set the Status:

    • Draft (not visible to customers)

    • Open (customer can view, accept, or decline)

  5. Set the Open Till date:

    • This defines how long the customer has to take action.

    • You can set default due duration in Setup → Settings → Finance → Proposal.

  6. Currency:

    • For leads, you can select any currency.

    • For customers, the system will use the customer’s currency.

  7. Enable or disable Allow Comments:

    • If enabled, customers can reply or negotiate via comments.

  8. Click Save to generate the proposal.


✍️ Adding Proposal Content

Once the proposal is saved, you’ll be redirected to the Proposal Preview Page, where you can edit its content.

  • The default content includes the merge field {proposal_items} — this auto-displays the list of items added to the proposal.

  • To add more content:

    • Click inside the editor and begin typing.

    • No need to save — your content is auto-saved.

    • Optionally, press CTRL + S to save manually.


🧩 Use Merge Fields for Dynamic Content

Save time and ensure consistency by using Merge Fields:

  • Click Available Merge Fields to view and insert placeholders like:

    • {customer_name}

    • {proposal_items}

    • {proposal_to}

  • This is useful when duplicating templates across multiple proposals.


🔁 Copy a Proposal

Need to reuse an existing proposal?

  1. Open the proposal.

  2. Click More → Copy.

  3. A duplicate will be created and ready to edit or send.
