Creating a New Estimate

Estimates help you provide clients with a detailed, professional pricing proposal before initiating a project. In Quotify CRM, you can create and send estimates quickly using the following steps.


🛠 Steps to Create an Estimate

  1. Go to: Sales → Estimates → Create New Estimate
    Or click the 🛠 Build icon (top left), then select Create Estimate.


🔁 Client Selection

  • Before creating an estimate, make sure the client is already added via Customers → New Customer.

  • When a client is selected, their billing and contact information will automatically populate the estimate.

  • You may click the ✏️ Edit icon next to billing details to make changes just for this estimate.

⚠️ Editing billing/shipping info here will not affect the stored data in the client profile.


🔢 Estimate Number

  • Estimate numbers auto-increment (e.g., 001 → 002).

  • You can configure the starting number from Setup → Settings → Finance → Estimates → Next Number.


💵 Currency

  • The estimate currency is automatically selected based on:

    • Customer-specific currency (if set)

    • Or your base/default currency

  • Currency cannot be changed after selection.


👤 Sales Agent

  • You may assign a Sales Agent to the estimate.

  • Agent name will appear on the estimate if enabled via:
    Setup → Settings → Finance → Estimates → Show Sales Agent on Estimate


🧾 Adding Items to Estimate

  • Click Add Item and select from predefined products/services.

  • Click the ✅ blue check icon to confirm and insert the item.

  • Tax can be applied per item.

  • You can also adjust the total with the Adjustment field.

💡 Updating item info in Sales → Items won’t affect items already added to saved estimates.


📝 Notes & Terms

  • Admin Note: Visible only to staff/admins.

  • Customer Note: Shown on client view (HTML & PDF).

  • Predefined Terms and Conditions:
    Set via Setup → Settings → Finance → Estimate (scroll down to customize default notes).


✅ Finalize Estimate

  • Click Submit to save the estimate.

  • Once sent to a client, the estimate status changes from Draft to Sent automatically.
