Staff Permissions in Quotify CRM

Quotify CRM allows granular control over what each staff member can see and do. Here's a breakdown of permissions by module:


🔹 Invoices

  • View (Global): See all invoices in the system.

  • View (Own): See only invoices the staff member created.

  • Create / Edit / Delete: Apply globally or only to their own, depending on view permissions.

  • Extra: Staff can view invoices where they are assigned as the sale agent if Finance → Invoices → "Allow staff to view invoices where assigned" is enabled.


🔹 Estimates

  • Same rules as Invoices

  • Visibility also applies if assigned as a sale agent.


🔹 Proposals

  • Same rules as Estimates

  • Must be assigned to the proposal to view it if global view isn’t allowed.


🔹 Expenses

  • View (Global / Own)

  • Create / Edit / Delete based on view rights.


🔹 Contracts

  • View (Global / Own)

  • Create / Edit / Delete based on permissions.


🔹 Payments

  • View (Global): All payments.

  • View (Own): Payments linked to invoices the staff created.

  • Create / Edit / Delete: Controlled by invoice view permissions.


🔹 Projects

  • View (Global): All projects.

  • No View (Global): Only projects where the staff is a member.

  • Create / Edit / Delete: Based on view rights or project membership.


🔹 Tasks

  • View (Global): All tasks.

  • No View (Global): Only see tasks assigned, followed, or public.

  • Create / Edit / Delete: Based on task connection or project setting in Settings → Tasks → "Allow all staff to see tasks related to projects."


🔹 Customers

  • View (Global): All customers.

  • Without Global: Only customers where staff is marked as "customer admin".

  • Create: Auto-assigns the staff as customer admin if global view is disabled.

  • Edit / Delete: Based on permissions.


🔹 Items

  • View (Global): All items.

  • Create / Edit / Delete: Applies globally.


🔹 Knowledge Base

  • View (Global): Includes internal staff-only articles.

  • Create / Edit / Delete: Full access.


🔹 Goals

  • View (Global)

  • Create / Edit / Delete


🔹 Email Templates

  • View / Edit (Global): Full access to templates.

  • No "Create" or "Delete" permissions.


🔹 Reports

  • View (Global): Access to all reports.

  • No Create/Edit/Delete options.


🔹 Roles

  • View / Create / Edit / Delete: Full control for roles management.


🔹 Settings (Setup → Settings)

  • View / Edit (Global): Full access.

  • No Create/Delete.


🔹 Staff

  • View / Create / Edit / Delete: Full permissions for managing staff members.


🔹 Surveys

  • View / Create / Edit / Delete: Full permissions.


🔹 Bulk PDF Exporter

  • View (Global): Access to export tools.

  • Can export invoices, proposals, payments, and estimates based on existing permissions.


🔹 Leads

  • Hidden if the staff is not marked as "Staff Member".

  • View (Global): Needed to view all leads.

  • Without global view: staff can only see:

    • Leads they created

    • Leads assigned to them

    • Public leads

  • Create / Edit: All staff can create/edit leads if they can access them.

  • Delete: Without delete permission, staff can only delete their own leads.


🔹 Support Tickets

  • By Default: Staff can only see tickets assigned to their department.

  • Override this by disabling Settings → Tickets → "Allow staff to access only department tickets".
